Improve Project Documentation and Go Paperless

Read how Harold Brothers Mechanical contractors in MASS improved project documentation and went paperless.

“Introduce your business and what you do there.”

“Steven Koski, Outside Labor Superintendent/Safety Officer, Harold Brothers Mechanical. Harold Brothers Mechanical Contractors, Inc. is a privately held mechanical construction company based in Eastern Massachusetts. Being a full service organization we are able to provide total mechanical construction including HVAC, Plumbing, process piping, refrigeration, pre-fabrication, rigging, energy management and temperature control.”

“What challenge were you trying to address with Snappii?”

“The business challenge was lack of good project documentation. Without it, it is hard to prove in court what was or was not done and what Harold Brothers delivered. Documentation is also needed to prove to clients why something was not done as agreed. For example, the client or the site was not ready when Harold Brothers’ people show up. Good documentation is also critical for planning how to deploy crew members on various projects. Biggest challenge is training especially for seasoned Foremen. To over come we did extra training.

There is a large amount of Foremen in the field who are doing the Daily Reports. Harold Bros has a substantial amount of people working in the field and about 40 in the office. I personally manage all of the Outside projects at one time.

Our team needs to fill in a decent amount of forms on a daily basis. Forms can get lost, not always delivered to the office, it’s hard to read sometimes what it says, etc. We know that businesses have been turning to mobile forms lately and we decided to give it a try and convert our paper-based process into mobile forms app. We wanted to automate manual processes, share documents, track tasks, and collect and store data with mobile forms. Besides, we needed to improve collaboration between the field and office teams.”

“What was the scope of Snappii’s involvement?”

“The main idea for the application was to convert our existing paper forms we use on a daily basis. We needed to organize Timesheets, Pipe test reports, HVAC and Plumbing sheets, as well as track job on site daily reports.

We were also looking for the following features:

– Automated time sheet reporting — time sheets to automatically be emailed to appropriate individual’s EOD Fridays

– Signature fields

– Input fields

– Calculations

– Forms to be saved in the app

– Forms to be custom PDF output and Excel output

We also needed the app to be used internally in our organization as well as control who has access to it.”

“How did you come to work with Snappii?”

“We found them online and looked at several of their past apps. We have been testing the daily log app with some of our foremen and really like the look and use of that one. So we decided to give them a try.”

“Are you happy with the result?”

“We’re really happy with the progress. The app has been published privately and shared among specific list of people. The app has user-based access. Now it literary takes a few minutes to fill out the report, sign and send it. We receive a convenient PDF output that’s stored in the app and also can be shared via email, cloud drives and printed, if needed.

Snappii’s QA team used some automated and manual tests on performance and troubleshooting and found the app to be stable. I can’t blame them for any issues because it’s up and running. I’m sure it will work fine moving forward.

All our employees were trained how to use the app. In future we expect to cut down time and expenses significantly using this mobile app. ”

“How did Snappii perform from a project management standpoint?”

“The process was straightforward, fast, and pleasant. We had phone calls and email conversations to make sure the app will work exactly how we needed. They were really proactive and responsive. We are quite satisfied.”

“What did you find most impressive about them?”

“They’re really responsive. We were interested in getting the app as soon as possible. We are very satisfied with the collaboration; the Snappii team was responsive and provided good communication. We are impressed with their stability. Snappii has been present in this industry since 2011, and they’ve created many apps which we downloaded and reviewed ourselves, finding them to be stable.”

Construction Apps Will Save You Time

In the world of construction, documents are everything. Technology is being further integrated into the construction industry, and it’s important to document not only all the safety regulations, procedures and actions that must take place, but the equipment that is being used to carry out those procedures as well. We can take it one step further and wager that you’re looking to keep track of your employees time-cards as well.

While some of these processes may be automatic, the majority of them require user input to function correctly. Even an app won’t get around the fact that some human interaction is necessary. In the past, paper forms would get filled out by the workers, which in turn get inputted into spreadsheets on a computer so that they can be archived. By using a mobile app, however, the worker can take out the middle man and send reports directly to the main computer to be archived. Normally, mobile apps would cost a fortune.  But, by using a DIY app builder like Snappii, you can make a mobile form that resembles the form you already use in a matter of minutes. Try it out today!

That said, how does a mobile app help to alleviate the pressures of documenting everything while on the job?

Increased Complexity = Increased Functionality

Today’s construction projects are becoming more complex. Contractors and individuals are spread across multiple locations, and communicating between all of them can become difficult. Documents go through multiple people, all ending up on a desk where it needs to be processed and filed. And with the advent of the internet, stakeholders have expectations for information to be available whenever.

These requirements can be difficult to reach on a consistent basis without the aid of some type of software. Companies tend to lean in the direction of making their own software to handle documents, but this becomes problematic if a company has to exchanges documents with another entity also working on the same project. It also involves a lot of paper, which is easy to misplace or damage.

The best part about mobile apps is that they are malleable. As your business grows, you can expect your processes to become more time-sensitive and difficult. Mobile apps made on DIY editors allow you to constantly update and add functionality without paying programmers to come and tinker with it. As mobile app editors become more powerful, new features can be added with just the click of a button, making mobile apps far more intuitive than software that would have to be redesigned over and over.

How else can a mobile app help?

Many companies use document management software in order to manage all of their documents, and to keep them universally available. Document managers can be accessed from businesses via a cloud service, so location does not matter. And because the structure is already predefined in the document manager itself, there’s little room for error.

While it does work well, the cost associated with buying multiple licenses in order to use the software among all employees can be crippling for some companies. Mobile apps also provide the same universal structure for documents for a much cheaper cost – and you don’t have to give up convenience.

The biggest benefit a mobile app can provide is that the hardware to use the program is already in the pockets of most of your construction workers. They simply have to download the app, input their credentials, and a personalized view of the app will guide them through whatever processes they need to perform. These can be anything from filling out a mobile form, to checking what the weather will be like next Tuesday. Mobile apps eliminate the bridge of communication that companies have to cross by connecting every worker to the same system.

Mobile apps can get expensive quickly. Hiring a team of coders and programmers can not only be a logistical nightmare, it’s also going to break the bank. Snappii, a powerful DIY app editor, enables even anyone to create their own app from scratch with zero coding experience. One app can effectively replace all your paper forms, and add the functionality that you need to complete the long, difficult construction projects.

Think Faster With A Construction App

Construction apps can offer many benefits to a firm. Push Notifications, for example, notify your users in an effective, almost impossible to ignore way. In a report conducted in 2016 by SurveyRadar, they proved that Push Notifications are much more effective than phone calls, and in some cases, even text messages. The best part is that the head user would be able to send these notifications, monitor their business, and communicate with their clients all from the same piece of software on their smart devices, whether it’s a phone or a tablet.

Many construction workers are reluctant to jump into the digital playground that has recently introduced itself to the industry. It’s unfortunate, but the learning curve associated with acquiring a new piece of technology is the main detterent. Through that, though, Snappii has persevered as one of the easiest to use platforms on the market. With apps that are completely customized, it’s never been easier to jump into the digital world.

It’s funny to think that the construction industry, which is home to some of the most expensive equipment in the labor market, still operates off pencil and paper for most of it’s field work. Over the years, Snappii has helped many businesses drop the traditional method, and adopt a streamlined version that can make their business more efficient, productive and lucrative overnight. Here are some of the features that Snappii can provide to your business:

A Digital Archive

Looking for a needle in a haystack sucks. Back when I used to work for a law firm, finding documents for lawyers was a nightmare. Even the “storage” that held all the documents felt more like a cave than another room in the office. So I can’t imagine the paperwork that goes into making a structure appear from out of no where. Compliance, regulations, forms, data – there’s way too much information that is flying around, vulnerable, in the process. A mobile business app can reduce the clutter seamlessly, but that’s not all it offers.

Imagine being able to look your client up by date. With a mobile app, everything becomes archived so that you can always go back and find a clients information without having to search through endless filing cabinets and accordion folders. It also ensures that the data entry process goes much smoother, avoiding costly mistakes by taking out the middle man that would normally be delivering paper to your office receptionist. Input the data once, and it send it away to either a cloud service or your office.

Mobile Forms

Without a doubt, there’s some sort of forms in your work flow. Whether it’s acquiring information to make sure that a scaffolding meets safety requirements, or just a standard daily log that you have to fill out, forms take time when the individual has to write things down. A digital form, though, gives you access to certain features that wouldn’t be available on a clipboard.

Take voice notes for example. If a worker is on the top of an electric post and they spot an erroneous error that has to be reported and addressed, they can talk into the mic rather than taking notes. Afterwards, they can take a picture of the error, attaching it to the body of the report their filling out before they even get back on the ground.

One nifty trick that the admin can do is track where the mobile forms are being sent from. This tracking would occur wherever the user is, but without the users knowing. The admin user can know where all of their workers are, without having to do any extra work, and again, all from their phone.

Construction apps made by Snappii are available on all platforms: Apple, Android, and even Desktops. Kick-Start Your Construction Business With An App

There’s a lot of moving parts within the construction industry. Unless you track down the movement of each of those parts, you’re going to get overwhelmed and lose track easily.

This isn’t a secret though. For years the construction industry has been recording their documents the old fashion way – marching out to the field with a paper and pencil in hand, struggling to find empty spots where they can press their paper against and write. And they write a lot. Documenting safety regulations, procedures and actions that take place, and equipment that’s moving around constantly.

A few of these might already be automatic, but the majority of them requires some degree of user input in order to function correctly. Workers meticulously fill in endless paperwork to hand it off to the secretary who must then go through another endless pile as they input the data into the computer. The worker also loses time by taking the paperwork to the secretary, something that seems primitive with all the communication systems we have in place – and it is.

By using the mobile app, one can eliminate almost all the paperwork that has to be taken back and forth between members of the firm. Snappii, a mobile app developer, has developed a platform where one can rapidly create a mobile app with little to no computer knowledge. This allows the user to test the app an unlimited amount of times to see if it’s something their business really needs. Click here to see more information about Snappii.

Aside from eliminating the time and paper, a mobile app can help your business in a few other ways:

Snappii has HTML5

That might not mean much for you, but it’s actually a huge benefit that only Snappii offers. It’s basically the ability to have an app run on your computer. Sounds simple, but it’s actually tremendously useful. Document managing software can become very expensive for a business, espeically if they’re a general contractor and their work covers a wide spectrum of fields. This also ensures that no matter what device your employees have, if it can connect to the internet then they can probably use it.

HTML5 means that you can develop an app for your devices, and that same app can be used on a computer. Every piece of software in the company will look the same too, making it easier for your employees to not only learn the intricasies, but master them. It’s a much cheaper alternative to buying software, and it allows you to customize it how you see fit. There’s an unlimited amount of prototypes, so if you’re not sure if something will work, try it out! You’ve got nothing to lose.

Your work is archived

I don’t want to jinx it and say that the situation will come up, but you never know when you’re going to have to go through paperwork to find documents for a particular regulatory compliance. It’s a pain.

Digitizing your paperwork also comes with some innate benefits that may not seem obvious at first glance. The biggest plus I can think of, though, is the fact that your work becomes indexed. That means if you need to search for something that happened on a specific date in a specific area, you don’t have to go fishing through massive file cabinets and irrelevant files for days. You can just type in a few parameters and filter the results quickly and efficiently.

Mobile apps can get expensive quickly, and hiring a team of coders to put one together for you can tear a hole into your companies wallet. Snappii, a powerful DIY app editor, enables anyone to create their own app with zero coding expierience. One can replace all their paper forms and increase their communication within the company ten-fold by adopting a mobile app, and Snappii is there to help you every step of the way.
